How to make a company stamp online

  1. Pick a template or shape. Start from a classic round company stamp, a double ring, a round stamp with a date band, an oval, an address block or a “PAID” stamp.
  2. Type your wording. The company name runs around the top of the ring and your location or slogan around the bottom. Up to three centre lines hold a registration number, address or phone number.
  3. Add a date and logo if you need them. The date sits in its own colour like a dater stamp. A logo can be re-inked in the stamp colour so it looks pressed rather than pasted.
  4. Choose the ink and texture. Blue, violet, red, black, green or your own colour, with a clean, light or worn ink finish.
  5. Set the real size and download. Sizes are in millimetres, so a 40 mm stamp prints at 40 mm. Download a transparent PNG, or go to Stamp a PDF.

How to stamp a PDF without printing it

Open the Stamp a PDF tab and drop in your document. Click Add stamp and drag it into place — use the corner handle to resize and the round knob to rotate it slightly, the way a hand-pressed stamp usually sits. You can put the stamp on every page at once, add a signature image (its white background is removed for you), then download the stamped PDF. The ink is blended into the page, so text underneath still shows through as it would on paper.

What to put on a company stamp

Requirements differ from country to country, but most businesses include the registered company nameexactly as on the certificate of incorporation or business name registration, a location(city or region), and contact details such as an address or phone number. Some add acompany registration or tax number on rectangular stamps used for invoicing. Keep the wording short — long text on a 40 mm ring becomes hard to read when it is pressed or printed small.

Use stamps responsibly. Only stamp documents for a company you are authorised to act for. Making or using another organisation’s stamp to pass a document off as theirs is forgery. That is why this tool asks you to confirm authority before each download and refuses names of government bodies, courts and banks.

Digital stamp vs electronic signature

A stamp shows that a document came from or was approved by a company; a signature shows that a particular person approved it. Most organisations expect both together — a stamp next to an authorised signatory’s signature. If you need a signature with a verifiable audit trail (who signed, when, from where), use a proper e-signature service alongside the stamp.

Frequently asked questions

Is a digital company stamp legally valid?
A company stamp is a mark of the company’s approval, not a signature or a common seal. Whether a stamped document is accepted is up to the person or office receiving it. Many suppliers, landlords and organisations accept a stamped and signed PDF; banks, courts and government offices often want an original wet stamp and signature, and some countries have specific rules. When in doubt, ask the receiver what they accept.
Are my PDFs or logo uploaded to your server?
No. The stamp is drawn and the PDF is stamped entirely inside your browser. Your files never leave your device, which also keeps it quick on a slow connection.
What size should a company stamp be?
Round stamps for companies are usually 38–45 mm across; a 40 mm round stamp is the most common. Rectangular address stamps are typically about 50–60 mm wide by 20–30 mm tall. The maker works in real millimetres, so the PNG prints at exactly the size you set.
Can I make a stamp for any company?
Only for a company or organisation you are authorised to act for — you confirm this before every download. Stamps carrying the names of government bodies, tax authorities, courts, the police, central banks and major banks are blocked outright, because those institutions get their official stamps from their own approved suppliers.
How many stamps can I download for free?
The free plan includes 3 downloads a day (PNG up to 300 DPI, or a stamped PDF with a small Ci-Balanced note in the footer). Pro adds unlimited downloads, 600 and 1200 DPI PNG, vector SVG and PDFs without the footer note.
Can I take the design to a stamp maker for a physical rubber stamp?
Yes. Download the high-resolution PNG (or SVG on Pro) and take it to any stamp or printing shop. A file in the exact size saves them redrawing it and keeps the wording exactly as you approved it.
